Office administrator (m/f/div) on a short-term contract from 01. February until 31. July 2025

The Embassy of the Federal Republic of Germany is looking for an office administrator (m/f/div) on a short-term contract from 01. February until 31. July 2025 to support the Embassy‘s organization team for the upcoming G7 Presidency.

This is a full-time position with 40 working hours per week. The probationary period is 3 months.
The position does not allow home-office work.

The work with the organizing team offers versatile, demanding duties that will introduce the candidate to the preparation, processes and organization of international, high-ranking, political meetings in Canada and will offer the opportunity for business travels.

The Embassy offers a renumeration – depending on the level of previous experiences – of a minimum of 5.125,00 CAD per month.

The work includes the following main duties:

- General office duties, such as drafting and composing letters and Note Verbales, managing operations’ plans, maintaining overviews and performing related enquiries

- Organizational duties such as hotel or flight bookings

- General logistical support

- Work in delegation- and/or press-offices

- Possible support of delegations, accompanying such delegations

- Support in the organization of international meetings, such as arrangement with hotels and event-mangers.

Required Qualifications:

Technical:

- High level of proficiency of common office programs (eg. Word, Excel, Outlook, PowerPoint, Sharepoint)

General:

- High level of proficiency in German and English (comparable level C2, native speaker level)

- Ability to work in a team

- Organizational talent

- High communication skills

- Ability to approach people openly

- Willingness to work out of core hours (evenings and weekends)

- Willigness to go on business trips – also for several days – Canada-wide

Desirable Qualifications:

- Good proficiency of written and spoken French


Formal requirements

- Canadian citizenship or a permanent residence and work permit (Permanent Residence Status)

Shortlisted applicants will be given the opportunity to introduce themselves in person in the 3rd calendar week (13.-17. January) of 2025. A separate invitation will be sent to this effect. Unfortunately, travel expenses cannot be covered.
Successful applicants will be required to pass a pre-employment health examination and personal/security screening. With regard to the application documents, the terms of the EU General Data Protection Regulation (GDPR) apply.
